Tournament Payment Policy

Please note the following policy regarding tournament payments. ALL players from a team are strongly encouraged to participate in all team tournaments.

  • All players are required to pay their portion of the tournament entrance fee for in state and out of state tournaments, regardless if a player is not going to participate in a tournament.
  • If a player is not going to go to an out of state tournament, they need to give the coach and team manager a two month notice that they will not attend. If they give that notice, then they do not have to pay their portion of the coach’s expenses. Otherwise, the player is responsible to pay their portion of the coach’s and team expenses.
  • Guest players do not pay the entrance fee to the tournament, but they do pay their share of coach’s and team expenses.
  • If the coach has a son/daughter on the team, they are required to pay their share of all team expenses and coach’s expenses. A team manager can take the coach’s child fee out of the expenses to be reimbursed or the coach can pay those fees up front.

Travel Policy

The following policy outlines the coaches travel compensation from the team.

Out-of-State Tournaments:

  • Airfare
    • Manager will reserve the flight
    • Coach will travel the day before the tournament starts
    • Coach will return the same day after the end of the Tournament, unless flight are not available that day and travel needs to be extended to the following day
  • Car Rental
    • If Driving to Tournament in a Rental Car:
      • Coach or Manager will make the reservation for one (1) day prior to the start of the tournament and one (1) day after the ending of the soccer tournament
    • If Driving to Tournament in a Personal Car:
      • We would rather the coach use a rental vehicle
      • If the coach still proceeds in driving their own vehicle, they will only be reimbursed like they were driving a rental car and will have to save and turn in receipts for the gasoline purchases in order to be reimbursed by the team
    • If Flying to Tournament:
      • Car will be rented for the duration of the  tournament
    • Rent no more than an intermediate size car
    • Ask for a receipt when turning in the car
    • Ask for receipts for the purchases of gasoline needed during the tournament
    • Coach will be reimbursed after turning in the receipts of the rental car and the receipts for the gasoline purchases to the manager of the team
  • Lodging
    • Manager will reserve the room at the same hotel where the team is staying
    • Manager will reserve the room for check-in the night before the tournament starts and check-out the last day of the tournament, unless travel needs to be extended until the following day due to Airline travel booking
    • The Coach will not have players staying in his personal room
    • Additional room charges besides the regular daily room rates will be paid by the coach himself.
  • Per Diem
    • The coach will be paid a per diem based on the current per diem rates in the city where the tournament is being held. To calculate the current per diem rate, utilize the search on this site: https://www.gsa.gov/travel/plan-book/per-diem-rates. After conducting the search, you will be looking for the Meals & Incidentals (M&IE) rates and breakdown. Multiply the M&IE Total by the total number of days of the tournament including travel days to arrive at the total per diem amount. If breakfast is provided at the hotel where the coach is staying, subtract the Breakfast amount multiplied by the number of mornings at the hotel.
      • For example, assuming the following details:
        • Tournament is being held in Las Vegas, NV
        • The total travel is 4 days
        • The hotel does provide breakfast
        • The coach will spend 3 mornings in the hotel
        • The current M&IE total is $69 per day
        • The Breakfast allowance is $16 per day
        • The total per diem allowance is calculated as ($69 * 4) - ($16 * 3) = $276 - 48 = $228
    • The per diam per day is given to the coach in cash prior leaving for the tournament.

In-State Tournaments:

There is no compensation for coaches for in state tournaments unless the tournament is more than 2 ½ hours from the Sparta office. That address is 7109 South Highland Drive, Cottonwood Heights, UT 84121.
